Terms and Conditions of Enrolment

An application for enrolment and any admission to Shelford Girls’ Grammar (‘the School’) is subject to the following terms and conditions:


  • A student’s name will be placed on the School waiting list following the receipt of the Application for Enrolment Form and the payment of the non-refundable Application Fee of $150.
  • Submission of an Application for Enrolment Form is a pre-requisite for admission, however, it is not a guarantee of admission to the School, and the School reserves the right to offer a place to any child, irrespective of date of application.
  • Any change of address should be notified immediately. Failure to do so may result in losing a place on our waiting list.
  • A non-refundable Enrolment Fee of $1,200 is payable upon acceptance of an offer of a place. This fee will not be credited toward any future fees.
  • Discretion as to the acceptance or continuance of any student in the School rests with the Principal.
  • The person(s) signing the Application for the Enrolment Form complete(s) an agreement to abide by the rules, procedures and business practices, ethos and Code of Conduct of the School, as set out in this form and in other official School documents, as reviewed from time to time. This includes the timely provision of your child’s medical information, and any additional or specific needs of your child to facilitate inclusion.
  • Parents/guardians agree to support the School in the enforcement of its Positive Behaviours Policy and in the maintenance of the School’s standards of behaviour.
  • Every student admitted to the School is expected to follow School policies, procedures and standards of behaviour. Failure to observe these may result in disciplinary action and jeopardise a student’s continued enrolment at the School.
  • Parents are required to fully complete Student medical profiles, including provision of Action Plans where required, on CareMonkey upon enrolment and prior to commencement at the School.
  • Parents are responsible for ensuring student medical profiles are kept up to date on CareMonkey at all times, while the student is enrolled at the School.
  • Parents are required to notify the School of any changes in contact details and to notify the School of any information which may affect the School’s care for its students, including medical updates or Court Orders which may affect the student.
  • There is no guarantee that subjects offered in one year will be available in any other year. The Principal has discretion to cease offering any subject or course even though there may have been earlier notice that the particular subject or course will be offered


  • One complete term’s notice, in writing to the Principal, is required for the withdrawal of a student from the School. One term’s fee is payable if the requisite notice is not given. If this withdrawal is on a temporary basis and due to exceptional circumstances, a shorter period may be mutually agreed between Shelford and the parent/guardian. No refund of fees will be made. To guarantee a place on return, full fees must be paid during the time of absence.
  • To discontinue extracurricular activities, a full term’s notice in writing to the Principal, or one full term’s fees will be charged.
  • The School reserves the right to seek reimbursement for any proportion of fees awarded by a Scholarship or concession, from the date of concession to the date of withdrawal.


  • Fees are set out on the Schedule of Fees document. Fees are determined by the Shelford Board of Governors. Fees are subject to variation from year to year and are determined late in the year preceding enrolment.
  • The Tuition Fee is calculated on the assumption that the grants received from the Commonwealth and State Governments will be maintained.
  • The Consolidated Fee is allocated towards the cost of such items as sport equipment, transport and GSV Association fees, camps, incursions, excursions, library expenses, facility maintenance and replacement and information technology costs including provision of computers in lieu of a compulsory laptop program.
  • The Building Fund voluntary contribution is tax deductible and is used to finance essential building development within Shelford.
  • Specialist Lessons such as tennis, singing, gym, rowing or instrumental tuition as well as charter bus fares will be invoiced separately each term. These charges are due for payment by the end of the month in which they are billed.
  • Fees in Advance: tuition fees are billed one instalment in advance. One instalment will be paid in the year prior to entry to Shelford. Thereafter four instalments will be paid each year other than the final year when three instalments are paid.
  • No reduction in fees may be made in respect of absence because of sickness or any other cause.
  • Students enrolled after the beginning of any term shall be charged pro-rata for the remainder of that term only.
  • Arrears in fees may jeopardise a student’s place at Shelford. Failure to pay fees by the due date, will be considered as a breach of the terms and conditions of enrolment, and will be treated in accordance with the School’s Debt Management Policy.
  • Overdue Account Fee of $50.00 will be added to the account EACH MONTH that there is an unpaid balance exceeding 30 days past the Due Date. Where any amount payable to the School is not paid in full within 30 days of the rendering of an account, and no agreement for late payment is made in writing with the School’s Business Office , the amount outstanding will accrue interest from the due date until it is paid at the rate for the time being fixed under section 2 of the Penalty Interest Rates Act 1983 (Vic). http://www.magistratescourt.vic.gov.au/jurisdictio...
  • A Sibling Discount applies to the second member of a family and to subsequent members who are attending the School at the one time. It does not apply to the first family member or to students in receipt of any other concession or scholarship. If the first family member leaves the School for any reason, the discount will cease.
  • Visa, Mastercard, Amex or BPay payment is accepted. An on-line payment facility is available. PLEASE NOTE: A 1% surcharge applies to all credit card payments.
  • A discount of 2% on the Fees is offered to families paying the full year’s account by 30 November.
  • Scholarships, and all other discounts apply only to the Tuition Fee.
  • Payment by fortnightly/monthly instalments can be arranged by contacting the Finance Office on 9524 7417.

Parent/Guardian Declaration

I/We wish to register our child’s name on the waiting list for admission to Shelford Girls’ Grammar (‘the School’). I/ We the undersigned parent/ guardians acknowledge that we have read and note the terms and conditions for enrolment stated above, and agree to abide by these and any regulations and policies in force at the School. I/We also agree to co-operate with the School authorities in any other regulations or policies which may be made from time to time for the conduct of the School. I/We further agree that we are and will remain jointly and severally liable for all tuition fees and other accounts incurred by or in respect of our child. I/We agree to pay promptly all fees and other money due to the School in respect of the child enrolled in accordance with the terms of payment stipulated on each account. I/We certify that the information given herein is true and correct.

I/We authorise the School and its agents, servants and employees in the event of our daughter suffering from any injury accident or illness, taking such action as it deems fit to obtain medical and/or hospital assistance and treatment. We undertake to indemnify the School against all costs, actions and demands made against the School, its agents, servants and employees in respect or incidental thereto.
